Guides

Need something to print for the wedding? Start with the moment: planning, ceremony, reception or shower. Each printable below prints on Letter or A4 from your own printer, and the table says how many cards fit on one sheet. The counter under it turns your guest count into a total number of sheets, and the link it makes reopens your numbers for whoever you send it to.

Grouped list of printables with paper size and cards per page

Table: printables by moment, paper size and cards per sheet (our estimate, assumptions below)

ReceptionPlace cards, flat or foldedLetter or A46 at the default size, 10 at the smaller size

ReceptionTen to choose from in printable wedding gamesLetter or A4Bingo 2 per page, trivia 4 per page, hunt list 2 per page
ShowerWelcome sign (bridal shower page) and shower gamesLetter or A4Sign 1, trimmed for an 8 by 10 inch frame. Bingo 2, emoji puzzles 2, advice cards 4, trivia 4

Assumptions: the counts above are our planning figures. Each printable’s own page uses its own margin and states it, for example 0.5 inch on place cards, 0.4 inch on programs and 0.25 inch on table names, with 10 mm on A4 where a page gives A4 separately. A4 can change a count slightly. Cards are cut by hand or with a paper trimmer, with no bleed. Open the page for each printable to see its exact grid before you print.

Sheet counter: how much paper for your wedding

Type your numbers and the counter adds up the sheets, using the cards-per-sheet figures in the table. Programs, place cards and table names are the lines that grow with your guest list. Print one test sheet before you run a full set.

Your numbers live in the part of the link after the hash mark, so the page you share reopens the same count. That part of a link never goes to our server, and it carries only the counts you typed.

Worked example: a 48 guest reception

Say you print for 48 guests at six tables of eight. These are the counter’s default values, so you can load them and change any line.

Example, our estimate for 48 guests at 6 tables, assuming couples share a program and half page flat programs.

    • Place cards: 48 names at 6 per sheet = 8 sheets
    • Table names: 6 cards at 4 per sheet = 2 sheets
    • Programs: 24 programs at 2 per sheet = 12 sheets
    • Signs: 4 signs at 1 per sheet = 4 sheets
    • Welcome sign at 8 by 10 inches: 1 sheet
    • Total: 27 sheets, about 5 percent of a 500 sheet ream, with no games yet

Programs are the biggest line even though one sheet holds two. Print one program per two guests and you save 12 sheets compared with one per guest. Games change the total fastest. In the counter, one bingo card per guest at 2 per page adds 24 sheets here, which nearly doubles the paper. The games page shows a lighter option, one extra card per ten guests.

Printing a poster-size welcome sign at home

A welcome sign at 18 by 24 inches does not fit one sheet. Your printer tiles it across several pages that you tape together. The welcome sign maker has the layouts and the poster sizes each one suits.

Example, our estimate of the minimum for an 18 by 24 inch sign on Letter paper with 0.5 inch margins.

    • Printable area per sheet: 7.5 by 10 inches
    • Sheets across: 18 divided by 7.5 = 2.4, rounded up to 3
    • Sheets down: 24 divided by 10 = 2.4, rounded up to 3
    • With a 0.5 inch overlap for taping: 17.5 divided by 7 = 2.5 and 23.5 divided by 9.5 = 2.5, both still 3
    • Total: 9 sheets, at least

Nine is a minimum. Real tiling usually needs you to trim the margins off each sheet, and a misprint costs an extra sheet. On A4 the same sign also works out to 9 sheets at 0.5 inch margins, though the margins on each printable’s own page can differ. A smaller 11 by 14 inch sign takes 2 by 2, which is 4 sheets. If you would rather not tape, save the file as a PDF and ask a print shop what poster size costs.

    Mistakes that waste paper

    • Printing before checking the paper size. A Letter layout on A4 shrinks or crops by a few millimeters, and cut lines drift.
    • Leaving “fit to page” on. Cards come out a little smaller than the grid, so folded place cards stop standing.
    • Printing every game card. Games need one card per player or per couple. Count first, then print.
    • Skipping a test page. Print the first sheet alone and check the cut lines before you run the rest.

    Pass it on

Sending this to your maid of honor or planner? These lines are ready to copy and edit. The counter above also copies a message with your own link.

    • To your maid of honor: “Found free wedding printables we can print at home. Signs, place cards and games, all with the paper size listed. Can you pick the games?”
    • To a planner or family helper: “Here is the list of what we need to print. Each one shows how many sheets it takes, so we can count paper before we start.”
    • To your partner: “I counted the paper for the printables. Open the link, change the guest count to ours and tell me if the total looks right.”

    Questions people ask

Do I need to sign up to print anything here?

No. Every printable opens in your browser and prints from there. We do not ask for an email, and nothing you type is sent to a server. The sheet counter keeps your numbers in the page address only, and only if you copy that link.

Should I print on Letter or A4?

Use the paper your printer holds. Each printable has a Letter and an A4 layout, and at our default margins the cards fit either size without shrinking. The exact grid is on each printable's page. If a print dialog offers "fit to page", turn it off so card sizes stay true.

Can I send a printable to someone else to print?

Yes. Copy the link or use the share buttons on any page. The link reopens the same printable with the same choices, so your maid of honor or planner prints exactly what you saw. The sheet counter has its own link and message for the same purpose.
